Position Overview
We are seeking a detail-oriented and proactive Property Administrator to join our Toronto-based team. The successful candidate will play a critical role in supporting property operations, ensuring seamless communication between tenants, owners, and vendors. This role is ideal for a motivated individual with a passion for organization and customer service in the property management sector.
Key Responsibilities
- Tenant Relations:
- Serve as the primary point of contact for tenants, addressing inquiries and resolving issues promptly.
- Coordinate move-ins, move-outs, and lease renewals.
- Manage tenant communications regarding policies, notices, and updates.
- Administrative Support:
- Maintain accurate and up-to-date records for all properties, including leases, agreements, and payment records.
- Prepare and distribute reports on occupancy, maintenance requests, and other property metrics.
- Process invoices and ensure timely payment to vendors and contractors.
- Maintenance Coordination:
- Receive and manage maintenance requests, ensuring timely resolution.
- Schedule and oversee repairs and inspections in collaboration with property managers and service providers.
- Monitor contractor performance to ensure compliance with company standards.
- Financial Administration:
- Assist in rent collection, deposit processing, and financial record-keeping.
- Track expenses and prepare budgets in collaboration with the property management team.
- Address overdue accounts and coordinate with tenants to resolve payment discrepancies.
- Compliance and Documentation:
- Ensure properties adhere to local regulations and standards.
- Maintain compliance with lease agreements and company policies.
- Assist in preparing documentation for legal or regulatory requirements.
Qualifications
- Education: Post-secondary education in Business Administration, Real Estate, or a related field is preferred.
- Experience: Minimum 2 years of experience in property management or administration.
- Technical Skills: Proficiency in property management software (e.g., Yardi, AppFolio) and MS Office Suite (Word, Excel, Outlook).
- Communication Skills: Excellent verbal and written communication skills with a customer-first mindset.
- Organizational Skills: Strong ability to multitask, prioritize, and manage time effectively.
- Knowledge: Familiarity with Ontario’s Residential Tenancies Act (RTA) and property management best practices is an asset.
